Position Summary

Viceroy NM is seeking a full-time Government Contract Specialist to support the end-to-end preparation, coordination, and submission of government bids and proposal packages. This role plays a critical part in ensuring Viceroy’s procurement activities are executed with precision, consistency, and full compliance with federal acquisition requirements. The specialist will manage RFQs, RFPs, and related solicitation responses, overseeing the organization of proposal content, required forms, certifications, pricing inputs, and supporting documentation to ensure each submission is complete, accurate, and submitted on time.

The Contract Specialist works closely with Viceroy NM’s leadership team to track active opportunities, interpret solicitation requirements, and coordinate inputs across internal teams and partners. This includes maintaining compliance artifacts such as capability statements, past performance records, representations and certifications, and standardized proposal language, as well as tailoring materials to meet agency- and solicitation-specific requirements. The role also involves managing proposal calendars, monitoring deadlines, and ensuring version control and documentation accuracy throughout the submission process.

This position supports procurement activity across a range of federal agencies, including DoD, DHS, VA, USDA, DOE, NASA, and others, and requires comfort working across multiple concurrent deadlines. It is well-suited for someone who is highly detail-oriented, organized, and proactive—someone who takes ownership of deliverables, communicates clearly, and understands that accuracy, follow-through, and reliability are essential in government contracting environments.

Full-Time Government Contract Specialist

Responsibilities

  • Review and interpret RFIs, RFQs, RFPs, PWS/SOW requirements, and solicitation documents.

  • Assist in preparing government contracting documentation, including:

    • Technical narratives

    • Past performance write-ups

    • Pricing tables

    • Compliance matrices

    • Submission packages

  • Upload and submit proposals via federal portals (SAM.gov, FedConnect, NASA SEWP, etc.).

  • Track deadlines, amendments, follow-ups, and communication with contracting officers.

  • Maintain organized filing systems for bids, templates, and supporting docs.

  • Assist with capability statements, templates, and version control.

  • Coordinate with partners, subcontractors, and internal team members as needed.

Qualifications

Required:

  • Strong written communication and attention to detail.

  • Ability to interpret government documentation (or willingness to learn quickly).

  • Excellent organizational skills and ability to manage multiple deadlines.

  • Proficiency with Word, Excel, PDFs, and basic document formatting.

  • Ability to work independently and ask clarifying questions when needed.

  • US Citizenship Required

Preferred (but not required):

  • Experience with government contracting, procurement, or compliance.

  • Familiarity with FAR/DFARS clauses, NAICS codes, and federal buying programs.

  • Experience submitting proposals via SAM.gov, FedConnect, NASA SEWP, or other portals.

Compensation: $19-$25/hr

Schedule & Work Environment
